How to track a dental referral from start to finish

Tracking a dental referral properly comes down to knowing four things: that it was sent, that it was received, that the patient booked, and that the treatment was completed. Most practices can only ever confirm the first one. Here's how to see all four.
I'm a dentist, and for years my "tracking" was an email in my sent folder and a vague hope. That's not tracking — it's sending and forgetting. Here's the loop I now actually close.
The four checkpoints
- Sent — easy. Everyone has this. It's also where most practices stop.
- Received — did the other practice actually get it, intact, with the imaging? Email gives you no answer.
- Booked — did the patient make an appointment? Usually you only find out months later, if at all.
- Completed — did the treatment happen, and is the patient coming back to you for ongoing care?
Why most practices only see checkpoint one

How to close the loop — even on a budget

- A standing agreement with the practices you refer to: confirm receipt, and flag when the patient books.
- A weekly two-minute review of anything still stuck at "sent".
